How to Manage Collection Access & Sharing

Shortimize makes it easy to control who can view your collections, from keeping them private for your team to sharing them securely with external stakeholders.

Step 1: Locate the Access Settings

  1. In the sidebar, find the collection you wish to manage.

  2. Click the three-dot action menu (...) next to the collection's name.

  3. Select Manage Access from the dropdown menu to open the settings modal.

Step 2: Choose Your Privacy Level

You have three options for controlling access:

  • Private: The default setting. Only you and your invited team members can view this collection.

  • Public: Anyone with the direct link can view a read-only version of the collection. This is ideal for sharing with clients or external stakeholders who don't need an account.

  • Protected: Anyone with the link must also enter a password to view the collection, adding an extra layer of security for sensitive data.

Step 3: Customize What Visitors See (for Public & Protected Collections)

When sharing a collection, you can control exactly which data visitors can see.

  • Default: Shows a comprehensive set of metrics, including views, likes, shares, engagement, and top videos.

  • Minimal: Presents a simplified view with only the most basic data columns.

  • Custom: Gives you full control to pick and choose exactly which metrics and columns are visible on the shared page.
